Mini-split install estimate example
Mini-splits sell themselves. The bid is there to pin down the wall, the circuit, and the drain.
"single zone 12k btu ductless mini split in garage office, wall mount head, condenser on pad outside, 25 ft lineset in line hide, new 20a 240v circuit from panel, condensate pump, permit"
Example figures for a typical mini-split install job. Not a quote. Every line on the estimate came from the notes above. Nothing was added.
What to spell out on a mini-split install bid
- BTU rating and the brand and model.
- That the electrical circuit is included, or that it is not.
- Line set length and whether it is covered.
- How the condensate drains: gravity or pump, and where it goes.
Many cities require a permit for equipment replacement. Offering repair and replace as two packages on one proposal lets the customer decide without a second visit.
The parts of this estimate
- Scope of work. 5 lines, one thing each, in the order the work happens. What is not included is on the list too.
- One price. $3,900. Not a formula, not a range. The scope explains the number.
- Timeline. 1 day. Including dry time, cure time, or permit time, so the customer plans around it.
- Payment terms. 50% upfront, 50% on completion. The $1,950 deposit is paid by card when they sign.
- Warranty. 1 year on labor, manufacturer warranty on equipment.
- A way to accept. The customer types their name and signs with a finger on their phone. Legally binding under the E-SIGN Act, and recorded with the date, time, and the exact estimate they agreed to.
Questions HVAC techs ask about this bid
Can I skip the permit on a mini-split?
Many cities require one for the refrigerant and the circuit. Put it on the bid and nobody is surprised.
Multi-zone pricing?
Quote each head in the scope and one total. Customers understand "two heads, one condenser" better than a per-zone rate.
Is this a real quote?
No. The numbers are example figures for a typical job so you can see how a complete estimate reads. Your price is yours.
Can my customer sign this on their phone?
Yes. An estimate sent from BidWriter Pro opens as a link. The customer reads it, types their name, signs with a finger, and pays the deposit by card. You get an alert when they open it and when they sign.
