Help

Short answers to the questions contractors ask. Anything missing, email support@getbidwriterpro.com.

Writing a bid

What do I type in the job box?

Whatever you would text a customer. "replace 50 gal water heater, haul off old one, new expansion tank" is plenty. We fix spelling and lay it out. Nothing gets added: no scope, no promises, no fine print you did not write.

Does it change my words?

It expands shorthand (repl, 50gal, w/) and fixes spelling and punctuation. It will not add items, materials, warranties, or exclusions. If the proposal says something you did not type, tell us at support@getbidwriterpro.com and we will treat it as a bug.

What are payment terms?

They are the one line a customer reads twice. "Due on completion" is used if you leave the box alone. Pick from the dropdown or write your own. If you pick 50/50 or a deposit option, the deposit amount fills in and the customer pays it by card when they accept, or pays you however you collect.

Do I have to fill in my profile before my first bid?

No. Your company name and trade are enough to write and send one. Phone, license, and address go on the proposal as soon as you add them in Profile, and the result card reminds you until you do.

Can I see an example before I type my own?

Yes. On a new account the writer has a "Show me an example" button that fills in a sample job for your trade. Tap Write to see the proposal, then clear it and type your own.

Can I give the customer options?

Yes. Under "Photos, packages, extras, itemized pricing" on New bid, add two or three packages with a price each, named by what the customer gets (Standard / Premium, Repair / Replace), and any optional extras. The customer picks on the proposal page, the total updates as they tap, and they sign that. Emails and lists show "From $X" until they choose.

Can I put photos on the proposal?

Yes, two kinds. On New bid, add photos from the walkthrough, the damage or the old unit you are replacing, so the customer sees what the price is fixing; they appear under the scope on the page and the PDF. On Profile, add up to eight "Our work" photos and they show at the bottom of every proposal.

Do I have to itemize?

No. One total is the default. Tick "Itemize the price" when a job needs labor and materials broken out, and the lines set the total.

Is there an invoice?

Yes. When you request the balance, the customer gets an Invoice PDF attached with the total, what was paid, and what is due. You can download it any time from the bid's More menu, and the customer from the pay page.

Can I keep notes the customer does not see?

Yes, two kinds. On a bid, click "Note" for job notes: gate code, where to park, what they said on the phone. On the Customers tab, click "Note" for the person: slow to pay, referred by Mike. Both are private to you. They never appear on the proposal, in emails, or on the PDF, and they show up on the Jobs tab the day of the job.

Can I set defaults so I stop retyping?

Yes. Profile, Edit details. Payment terms, deposit, warranty, fine print, address, license, and time zone are saved once and appear on every bid. You can change any of them per bid.

Sending and signing

How do I send it?

Email it, text it from your phone, or copy the link. Email goes out under your company name. Text opens your messages app with the link filled in.

What does my customer see?

A clean page with your company, the scope, the total, timeline, payment terms, and an Accept button. They type their name and accept. No app, no account, no password. Click "Preview as customer" on any bid to see it yourself.

Is the signature legally binding?

Yes. We record the name typed, the date and time, and the exact proposal accepted. A typed name with a recorded date, time, and copy of the proposal is a valid electronic signature under the federal E-SIGN Act and state law (UETA). Whether any contract holds up also depends on what it says and where you work. The signed PDF is attached to the confirmation email for both of you.

How do I know if they opened it?

You get an email the first time they open it and again when they sign. You can turn the open alert off in Profile. The Bids tab shows Sent, Opened, Signed, or Paid in full on every proposal.

What if they want changes?

The proposal has a "Message" link under Accept. They type what they want changed and you get an email. On the Bids tab, click Edit, make the change, and send the new version. The old link tells them to use the new one.

What if they say no?

They can decline from the proposal, with or without a reason, and you get an email. A quick call often turns a no into a maybe.

Do proposals expire?

30 days by default, set in Profile to 14, 45, or 60. After that the link shows it expired and the price cannot be accepted. Write a fresh bid if the job is still live.

Does my customer ever get asked for money I did not request?

No. A deposit is only asked for at acceptance if your payment terms include one. The balance is only requested when you tap Request on the bid. Nothing else asks them to pay.

What are automatic follow-ups?

If an emailed proposal sits unsigned, the customer gets a polite reminder from you on day 3 and day 7, and a heads-up 5 days before it expires. Turn them off per bid on the Bids tab.

Getting paid

How do deposits work?

Turn on card payments once in Profile (about five minutes with Stripe, our payment processor). Then any bid with a deposit shows an "Accept and pay" button. The customer pays by card, the acceptance is recorded, and the money goes to your bank account, usually within two business days.

What do I pick during the Stripe setup?

Stripe asks a few optional questions on the way. For fraud protection, pick the free one, "Use baseline protection with Lite". For Stripe Tax, pick "Not right now". Neither is needed to take deposits, and both would cost you extra. You get your own Stripe login at the end, where you can see payouts and handle a refund or dispute yourself.

How do I collect the rest?

When the job is done, open the signed bid and click "Request $X". The customer gets an email with a pay link, or text them the link yourself. They pay by card, you both get a receipt, and the bid shows Paid in full. If it sits unpaid, they get a reminder on day 3 and day 7.

A customer paid me cash, a check, or Venmo. How do I close it out?

Open the bid and click "Mark paid". Pick what was paid and how, and tick the box if you want the customer emailed a receipt. The bid shows Paid in full by check, Venmo, and so on. Recorded by mistake? Click "Undo paid".

What does it cost to take card payments?

Card processing is 2.9% plus 30 cents per payment, plus a 1% platform fee. Both come out of the payment before it reaches your bank. Cash and check customers cost nothing extra.

What if a customer disputes a card payment?

The disputed amount is taken back from your Stripe balance, or from your bank account if the balance is short, while the card company reviews it, and you get an email explaining how to submit evidence. The signed proposal is your best evidence. If you win, the money comes back. If you lose, the customer keeps it.

Do I have to take card payments?

No. On the Profile tab, click "I'll collect payments myself" and type how customers can pay you (Venmo, Zelle, check). Request balance still works: the customer gets the amount and your instructions instead of a card button, and you record the money with Mark paid. Without either choice, the proposal still shows the deposit amount and you collect it however you do today.

Account

How does the free trial work?

30 days, no card. Everything works. After that it is $29 a month or $290 a year, cancel anytime from Profile.

Can I change my email or password?

Profile, then "Login and security" at the bottom. That is also where you connect or disconnect Google sign-in.

Can I get my data out?

Profile, "Download all bids (CSV)". Every bid with status, amounts, dates, and links. Opens in Excel or Google Sheets.

Does it work on my phone?

Yes, in the browser, and it works best added to your home screen, where it opens like an app with its own icon. One step on either phone, pictured under "On your phone" at the bottom of this page.

How do I sign in from an email?

Every email we send you has a button that opens your bids. On the phone or computer you tap it on, it signs you in without a password. The button works for seven days from when the email was sent. After that it opens the sign-in page.

Can I send another contractor a free trial?

Yes. Profile has your link under "Tell a contractor". Anyone who signs up from it gets the same 30 days free as everyone else, and you can see how many did.

How do I stop the emails?

The tips and reminders about your account have an Unsubscribe link at the bottom. Emails about a specific bid, such as a customer opening or signing one, keep coming because they are the product. The open alert can be turned off in Profile.

How do I reach a person?

support@getbidwriterpro.com. You will hear back from a person, usually the same day.

On your phone

Add it to your home screen once and it opens like an app, full screen, with its own icon. Nothing to download.
