Privacy Policy
This policy explains what information BidWriter Pro LLC, a Texas limited liability company ("BidWriter Pro," "we," "us"), collects when you use getbidwriterpro.com and related services, how we use it, and the choices you have. It applies to contractors who use the Service and to customers who receive or sign proposals through it.
What we collect
Account information. When you sign up, our login provider (Clerk) collects your name, email address, and, if you sign in with Google, the basic profile information Google shares. We do not see or store your password.
Company profile. Business name, owner name, trade, phone, business address, website, license number, notification email, time zone, default terms, payment instructions, your review link, and photos of your finished work, as you enter them.
Proposals. The job notes you type, the proposal text, prices, packages and extras, terms, job photos, job dates, and the customer's name, email, and job address you enter. You can also keep private notes about a bid or a customer; only you see those. When a customer views or signs a proposal, we record the time, the name they typed, a signature if they drew one, and the package and extras they chose. With a signature we also keep the internet address and browser type it came from, whether it was signed on the contractor's own device, and a copy of the terms as they stood at that moment, so that either side can later show what was agreed. If a customer asks for changes or declines, we store their message. If a customer pays by card and the proposal had no email address, we keep the email they typed at checkout so their signed copy and receipt reach them.
Quote requests. If you turn on your public quote page, a homeowner who fills it in gives us their name, phone or email, address, and a description of the job, which we pass to you.
Photos. Photos added to a proposal or a profile are stored at web addresses that are not listed anywhere but can be opened by anyone who has the address, so that they can show on the proposal. Do not upload photos that show anything private. Deleting a proposal does not currently remove its photos; email us and we will remove them.
Payments. Subscription payments and customers' deposits and balance payments are processed by Stripe. We receive transaction status, amounts, and identifiers, not full card numbers. If you enable payouts, Stripe collects the identity and bank details required to pay you, under Stripe's own privacy policy.
Usage. We use Vercel Analytics to count visits and page views on our own pages. It does not use cookies or track individuals across sites, and it is switched off on proposal and payment pages that a contractor's customer sees. Our servers keep standard logs (IP address, browser type, pages requested) for security and troubleshooting.
Advertising. On our own marketing pages, and once on the first screen after you create an account, we may load measurement tags from Meta (Facebook and Instagram) and Google Ads so we can tell whether an ad led to a signup. These tags set cookies and tell Meta or Google that a visit or a signup happened. They are not loaded anywhere else in the contractor app, and never on a proposal or payment page that a contractor's customer sees. You can limit this through your browser's tracking controls, Meta's ad preferences, or Google's ad settings.
Cookies and browser storage. Our login provider (Clerk) sets sign-in cookies. We set two cookies of our own, each for 30 days: bwp_ref remembers which link brought you to the site, and bwp_var remembers which layout of a landing page you were shown. Your browser also stores an unsent draft bid, your language choice on a proposal, and whether you dismissed the setup checklist. None of these track you across other sites.
How we use it
- To provide the Service: formatting proposals, sending them to your customers by email on your behalf, tracking opens and signatures, sending reminders, and processing payments.
- To notify you: emails when a customer opens or signs a proposal, billing notices, and important changes to the Service.
- To keep the Service secure and working, and to understand which pages people use.
We do not sell personal information. We do not use your proposals or customer data to train AI models or for advertising. To clean up the wording of a proposal, we send your company name and the job notes you type, which may include customer details if you type them, to a language-model provider (Anthropic) under terms that prohibit training on that data. The public try-it page sends the notes typed there the same way. The cleaned-up text is checked against your notes before it is used, and if it does not match, your own lines are used instead.
Who we share it with
Service providers that help us run the Service, each bound to use the data only for that purpose: Clerk (login), Supabase (database and photo storage), Vercel (web hosting and analytics), Stripe (payments and payouts), Resend (all email we send), Anthropic (cleaning up proposal wording), Google (our support mailbox and, when we advertise, ad measurement), and Meta (ad measurement, when we advertise). We may also disclose information if required by law or to protect the rights and safety of users or the public.
Customers of contractors
If you received a proposal through the Service, the contractor who sent it is responsible for the information they entered about you. We process it on their behalf to display the proposal, record your acceptance, and send confirmation copies. On the contractor's behalf you may receive the proposal, up to three reminders about it, your signed copy, receipts, a request for the remaining balance with up to two reminders, a notice of the job date, and a request for a review if the contractor chooses to send one. Reply to any of those emails to reach the contractor, or ask them to stop. To correct or delete your information, contact the contractor or email us and we will assist.
Retention
Proposals and signature records are kept until the contractor deletes them or closes the account, because they may be needed as evidence of an agreement. If you close your account, we delete your profile, proposals, and photos within 90 days, except records we must keep for legal, tax, or dispute purposes. Payment records held by Stripe are kept under Stripe's own policies.
Your choices
- Update your profile anytime in the app, and delete any proposal that has not been signed or paid. Signed proposals are kept as the record of the agreement until you close your account.
- Close your account by contacting us; we will delete your data as described above.
- Welcome notes, the 7-days-left notice, the note after a trial ends, and the Monday summary each have an unsubscribe link. Alerts when a customer opens a proposal can be turned off in your profile. Emails about signatures, payments, disputes, the end of your trial, billing, and security are always sent while you have an account.
Your rights
Wherever you live, you can ask us what personal information we hold about you, ask us to correct it, or ask us to delete it, by emailing support@getbidwriterpro.com. We answer within 45 days. We do not sell personal information and we do not share it for advertising. Residents of California, Texas, and other states with privacy laws can use the same address to exercise their rights under those laws, and we will not treat you differently for doing so.
Security
Data is encrypted in transit and at rest by our hosting providers. Access to production systems is limited. No system is perfectly secure; if we learn of a breach affecting your data, we will notify you as required by law.
Children
The Service is for businesses and is not directed to anyone under 18.
Changes
We may update this policy. Material changes will be announced by email or in the app before they take effect.
