The invoice most contractors send
A customer pays faster when the invoice answers every question before they ask it: who is this from, what was done, what does it come to, what did I already pay, how do I pay the rest. The generator puts those in the order a customer reads them. Lines on top, totals on the right, how to pay in a box they cannot miss.
Lines that get paid without a call
- Say what was done, not what it was called. "Replaced 50 gallon gas water heater, hauled off old unit" beats "Water heater service."
- Labor and materials on separate lines when the job was big enough to ask. One line is fine for a two-hour repair.
- The deposit as a credit, not a smaller total. The customer should see the full price they agreed to and the part they already paid.
- A due line. On receipt, or a date. "Whenever" is read as "never".
The part before the invoice
The invoice is the easy end of the job. The hard end is the estimate: the customer agreeing to the price and the scope before you start, with a deposit that proves it. If the work has not started yet, type the job and see the estimate. The customer signs it on their phone and pays the deposit, and when the work is done, the balance invoice is one tap. The estimate vs invoice guide covers which is which and when each goes out.
Questions contractors ask
What should a contractor invoice include?
Your business name and contact, the customer and the job address, an invoice number and date, each line of work with its price, sales tax if you charge it, any deposit already paid, the balance due, and how to pay. The generator has a field for each.
Do I need to charge sales tax on labor?
It depends on your state and the kind of work. Many states tax materials and not labor; some tax both on repair work; some tax neither on new construction. Leave the tax field blank if you are not sure and check with your state or your accountant.
How do I invoice when a deposit was already paid?
Put the full job on the lines, then enter the deposit in Already paid. The invoice shows the total, the deposit as a credit, and the balance due. The customer sees the whole picture and only pays what is left.
Should the invoice say when it is due?
Yes. On receipt is normal for small jobs. Net 15 or net 30 for commercial customers. A due line gets you paid faster than no line.
Is this invoice legal?
An invoice is a bill, not a contract. Any clear document with the parties, the work, the amount and the date does the job. The contract is the estimate the customer signed before the work started, which is the part most contractors skip.
Is the invoice saved anywhere?
No. Your details stay in your own browser so the next invoice starts filled in. The PDF is made when you press the button and sent back to you. We keep nothing.
